Appointments

Counseling is by appointment only. Some evenings are available. Late afternoon and evening appointments are the most requested and tend to stay booked. Our phone is answered during office hours each week. If you call after business hours, please leave a message on the voice mail and we will return your call on the next business day to coordinate an appointment.

What if I am late for my appointment?

If you are more than 15-30 minutes late, you will still be billed for an entire session. If we are running behind schedule, we will do our best to notify you and assist you with rescheduling at no charge to you.

I can't make my appointment!...or...I missed my appointment! What do I do?

If you need to reschedule or cancel an appointment, we ask for a 24 hour notice.

What if I do not show/do not cancel my appointment?

If you are a no-show without notice, the charge is $185.00, as that time has been specifically set aside for you. Cancelling without notice does not allow us sufficient time to schedule another client in that spot.

What happens during inclement weather?

If we cancel counseling due to inclement weather, there is no charge to you for the cancellation.  We post notices of the cancellation on our website, on our Facebook page, and send out an email to everyone on the calendar. We have offered Zoom/FaceTime sessions when we have cancelled counseling hours at the office as an alternative.   We realize that there is nothing any of us can do about the snow or other types of inclement weather, so this is a viable alternative when a session needs to occur despite the weather.  If you have any questions regarding this policy, please contact Sharla Haasenritter in our office and she would be happy to discuss it with you.

CANCELLATION POLICY

If you call to cancel your appointment at least 24 hours in advance, there is no charge to you and we thank you.  If you call within the 24 hour window of your appointment to cancel, there is a fee of $82.50.

Payment

Can my insurance covers costs for counseling with Journey to Hope Counseling, LLC?

Journey to Hope Counseling, LLC, is a Virginia participating provider for the following insurance plans:

  • Blue Cross Blue Shield

  • Aetna

  • Optima

If you have insurance with any of these providers, you will be required to pay your co-pay at the time of service, and we will file for insurance payment with your carrier. On your first visit, please be sure to bring your insurance ID card, your drivers license, and we will call for authorization for services before your appointment begins. We will find out for you if an authorization number is needed; verify your copay amount; and determine many counseling sessions are covered under your insurance policy. If you are scheduling an appointment for a minor covered on your policy, we will need your insurance id card as well as theirs at the first appointment. We are required to collect any copays when you check-in for your appointment.

What if I have insurance, but my provider is not listed above?

If you have health insurance that is not listed above, we have a few options as well for you. You can begin counseling as a fee for service client, paying at our practice’s hourly rate. We can prepare a statement for you to file with your insurance or file the 1500 form for you, and it is possible that your insurance carrier will reimburse part of the fee you pay for each visit. Please let us know if you would like a statement to file with your insurance.

Payment for services is expected at the time of service. We accept cash, checks, flex spending cards and credit and debit cards for payment. We can take the following forms of credit/debit payments:
